General Statement of Duties

Performs a wide variety of responsible office and clerical duties; does related work as required.

Essential Duties

Position Summary

This is an hourly position. Weekly hours will vary and may not exceed 29 hours. Candidates must be able to work a flexible schedule, including nights and weekends, to meet departmental needs. This position provides first-line customer service support to visitors accessing Henrico Recreation and Parks services in person, over the phone, and by e-mail. The role requires a team-oriented individual with excellent customer service abilities, strong organizational skills, administrative skills, and the capacity to multi-task effectively.


Job Responsibilities

  • Greet and direct visitors; answer questions related to agency functions, facility operations, and site-specific services.
  • Respond promptly and courteously to telephone calls and e-mails; handle customer concerns with professionalism, understanding, and tact.
  • Serve as an ambassador for the County and Division by sharing accurate information and promoting facilities and programs.
  • Meet with customers seeking facility rentals; provide tours and explain reservation rules, costs, hours, facility use guidelines, decoration and food policies, and cleaning expectations; explain staff support provided during paid events.
  • Retrieve information from Recreation Management Software and other sources to assist customers with program and shelter selection, online account creation, registration, memberships and reservations.
  • Process program registrations, shelter reservations, and private and interdepartmental rentals, including payments and modifications; verify data accuracy, issue receipts, and complete associated clerical and administrative tasks.
  • Review daily reports for accuracy and reconcile payments, ensuring verification procedures are completed.
  • Maintain communication with customers regarding balances due and final room diagrams for events.
  • Secure and generate room diagrams for private and interdepartmental rentals, ensuring alignment with the weekly calendar.
  • Use Recreation Management Software to export calendars, rosters, attendance sheets, and other reports as needed.
  • Review rental contracts, facility rules, regulations, and room setups with event contacts on the day of the event.
  • During events, respond promptly to customer questions and concerns, resolving issues independently.
  • Inspect rooms with event contacts after events and clearly communicate any issues to the vendor, using photographs as needed; complete and sign off on cleanup checklists.
  • Process Fitness and Open Gym applications; create access passes and accurately file related paperwork.
  • Respond to inquiries related to access passes, including payment plans, balances, expiration dates, and other related information.
  • Upholds all facility rules, policies, and guidelines as outlined in the Facility Guide, including customer behavior expectations, and ensures consistent enforcement to maintain a safe and welcoming environment.
  • Communicate relevant information to supervisors regarding supplies, building maintenance needs, and program or facility concerns.
  • Open and close the building before and after daily operations with minimal supervision.
  • Assist custodial staff with setup and cleanup as needed.
  • Perform other duties as assigned.

  • Proficiency in using registration and scheduling software or the ability to learn quickly.
  • Ability to work independently and exercise good judgment during events and daily operations.
  • Availability to work a flexible schedule, including nights and weekends.
Additional Information

The expected pay rate for this position is $16.17.

Minimum Requirements

High school diploma or GED, and three (3) years of relevant clerical or administrative support experience; OR, any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
